Do you own the coaches?

No, and we will not imply otherwise. Coaches come through partner operators we vet, working to our run-sheet and our standards, with our coordinator commanding the day. Everything smaller than a coach is ours. That is the whole of the distinction and it is why this page states it three times.

Is a convoy really better than one coach?

For clifftop and villa venues, yes, decisively — a coach parks at the main road. For a single hotel to a single ballroom, no, and the coach is cheaper per head besides. Tell us the venue and the hotel spread and the answer usually decides itself.

Most fleets above thirty-five passengers do. A coach takes the bulk, vans cover the hotels it cannot reach, and a dedicated vehicle stays with whoever should not be arriving on a bus. It is one quote and one coordinator regardless of how many shapes are in it.

How far ahead should we book?

Two to four weeks for most fleets, and as early as your venue is confirmed for July, August and mid-December onwards. Coaches are the constraint rather than our own vehicles — there are fewer of them and they commit first.

18 to 35 passengers: 1 × VIP van · 4 × Shuttle van; A convoy proper: a lead vehicle for principals and vans behind. Reaches every hotel and every venue driveway, which is the whole argument against a coach at this size.
35 to 60 passengers: 1 × VIP van · 3 × Shuttle van · 1 × Coach; The crossover. A coach carries the bulk, vans cover the hotels it cannot reach, and one Alphard stays dedicated to whoever must not be on a bus.
Above 60 passengers: 2 × VIP van · 3 × Shuttle van · 2 × Coach; Coach-led, and quoted from the manifest rather than a table. At this size the staging plan matters more than the vehicle count, and we walk the venue driveway first.

Coaches run 25 to 45 seats and come through vetted partner operators — always on our run-sheet and to our standards, but not our vehicles. We say so here because the event-fleet page says it too, and a fleet page that quietly implied otherwise would be the one lying.

Choosing

Convoy or coach, and why it is not obvious

The cheaper option is usually the coach. It is not usually the better one, and here is the honest reason each way.

Uluwatu clifftop venues and Ubud valley properties sit at the ends of steep single-lane approaches. A coach parks at the main road and everyone walks the last stretch. Vans do not.

Everyone leaves together and arrives together, which is exactly right when the whole party is in one hotel and wrong when they are spread across four.

Vehicles arrive in sequence and unload rather than stacking in a driveway. A single coach delivers sixty people to a door built for six.

It starts with the manifest

Not the vehicle count. The vehicle count is the answer, not the question.

Send the basics
Date, venue, passenger count, and which hotels or areas people are staying in. That last one usually changes the plan more than the headcount does.

Get a fleet plan
Vehicle mix, wave outline and one all-in price — normally back within 24 hours, and it will say plainly which vehicles are ours.

Confirm
The fleet, the chauffeurs and the marshalling team are locked to your date.

Sign off the run-sheet
The final manifest and timings, agreed about a week out. On the day there is one coordinator and one thread.
